We often hear about organizations that experience difficulties and problems in the definition and correct distribution of the various functionaries in the company.
Proper definition and understanding of each person's role, is critical to the success of an organization.
Disorder and clarity will often cause unnecessary delays, intrigue and even delay to the point of stopping important projects in the middle of one stage or another.
One of the main problems is that in almost every project that gets stuck there is no common understanding of the roles and responsibilities of the participants, nor even explicit documentation that supports this.
Precisely because of this more and more organizations are starting to implement the RACI matrix.
The RACI model, also called the authority and responsibility matrix, is a method that helps organizations define areas of responsibility, degree of involvement and different levels of authority in a particular project according to four criteria: responsibility (R), authority (A), consulting (c) and notification (I).
The model documents the role and authority of each of the people and thus produces a lot of order of certainty.
The RACI matrix will allow the required factors in the organization to know exactly who is responsible at each stage, who the advisors and input providers are and those who are interested must be updated at each stage.
So what is a RACI matrix?
The RACI matrix clarifies areas of responsibility and ensures that the project is carried out properly and the roles are assigned in the most accurate manner.
This is done with the help of a chart that maps each task, milestone or critical decision for the effective execution of the same project.
According to the mapping of things, it is possible to define responsibilities, powers and activity roles and even decide on who to keep up to date with at all stages of the project process.
Division of roles and responsibilities according to the RACI model
The acronyms RACI represent the four roles / responsibilities of executives in each project:
Responsible - responsible
Is the factor that performs the task. In one project there can be several people in charge sometimes, the authority holder is also in charge.
Accountable -the authoritative factor
The authority in the project for which responsibility is placed can be defined for the sake of understanding as the "owner" of the project. Is the person who actually signs / approves the execution of tasks at the various stages of the project. In addition the authority must make sure that the responsibility for the various tasks is properly defined in the matrix. This function will have only one person as the authority.
Consulted - consultants
The factors in the project that need to give the inputs before the work is carried out. These people will usually be involved in the project throughout.
Informed - informed
These are the people who need to stay "in the picture" for the duration of the project, the same people who need updates on progress or decisions, but do not need to be officially consulted, and they do not directly contribute to the task or decision.
The six steps for producing a RACI matrix
Make a chart. The chart can be in the form of a table or any other format that is convenient for you to use
#1
#2
#3
#4
Implementing these six steps will help you build an effective matrix of authority and responsibility that will help you dispel uncertainty and create order for you even before and during the project.
Clear clarity and role definition will allow the organization to significantly improve the chances of success of a project.
Proper use of the model will almost always contribute to driving a stuck project, strengthen and improve results. And will allow its key stakeholders to easily address the other issues that require resolution.
