10 Tips for Zoom Meetings (Virtual)

For those unfamiliar (really?) Zoom today is considered the most popular service in the world for cloud-based remote meetings. But there are quite a few tips that people are unfamiliar with and can dramatically change the way you meet people from a distance. Shall we start?
 
1. Arrive at the meeting 5 minutes before to check yourself. Just as you would never enter a room with cellophane tape on your mouth, or a Power Rangers mask on your face, think about how embarrassing it is to go into a meeting and waste precious time on the microphone or camera not working. Solution: Take 5 minutes before you go to a virtual meeting to test the microphone and camera. Once you have clicked on the meeting link, Zoom allows you to do an equipment check to see that everything is working properly. The most helpful thing for me is checking the microphones. Through the system you can record a few seconds of speech and see that really everything works smoothly.
 
 
2. Put make-up on the face.
Every time I show this feature to someone, the reaction is always "wow". So it turns out that zoom allows you to do a little touch-up on the face. Very relevant if you got up tired for a meeting or just do not have the strength to put on makeup. This is by the way why I do not meet people in reality (six… who will not know). Go to Settings -> Touch Up My Appearance.
 
 
3. Replacing a virtual background.
I talked about it once, but it always proves to be one of the best pro-tips in Zoom and relevant to those in isolation. So it turns out that you can replace your background on the back without buying a green screen. Through the Zoom settings you can upload a virtual background to any background you want. Hide the hustle and bustle you have at home by adding a background of whatever you want. I most like to replace it with the background of a real office, but you can have fun with what seems right to you. Zoom most recommends wallpapers with resolutions of 1920 × 1080. Go to Video Settings -> Virtual Background.
 
 
4. Screen sharing (not just what you thought).
So it turns out that there are quite a few screen sharing options from regular sharing that allows the other party to see what you are working on, to sharing your phone's screen via air only (Wifi), and also cooler things like sharing your computer's sound (if you want to take a dance break with A colleague from the other side, as well as a "whiteboard" sharing that allows you to draw and scribble on a whiteboard like in the office, my partner and I use Miro to make a more effective brainstorming session.
 
 
5. Know if someone is not with you at the meeting.
In Zoom settings you can turn on Attention tracking and enjoy a message that shows you if someone is not with you as soon as you share a screen. Imagine that you have now shared a screen but one of the participants has moved to another app and is not with you. So it turns out that Zoom can alert if someone is not with you while sharing a screen for more than 30 seconds. Advanced settings -> Attention tracking on (in the meeting you will see an icon in the form of a clock next to the participant).
 
 
6. Send someone a secret note.
Not many know but you can send a secret note through Zoom's chat. This means that if you are in a meeting with your colleague and another client, you can gossip about him through the chat. True, you have to be very careful with this and see that you are actually sending a "private" message and not to all chat participants.
 
 
7. Record the conversations.
Zoom allows you to record all calls directly to your computer. This is great if you feel like reliving meetings or for subsequent meeting summaries. In the settings it can be changed to automatic recording by default.
 
 
8. Transcribe the entire conversation.
I use Descript and upload the audio file I recorded from the zoom conversation directly into the app. It transcribes for me in 5 minutes only a full conversation (in English) and I can easily draw tasks from it for further.
 
 
9. Install the Chrome extension plugin.
The Zoom to Chrome extension allows you to add an efficient button to Google Calendar that allows you to turn an event in the calendar into a virtual zoom session in seconds (instead of constantly copying the link into the event).
 
 
10. Bonus: Celebrate a birthday in Zoom.
It turns out that you can hold relatively large events in the free version of Zoom. Just change the gallery view in settings to "up to 49 participants" and then you can see them all on the screen. I celebrated my 31st birthday like this (or rather it was a surprise party my brother put out through Zoom).
